Guide
What an AI sales assistant on your website should do (that most chatbots don’t)
Search for “AI sales assistant” and you will mostly find tools that help salespeople: call coaching, email writing, CRM updates. This article is about the other kind: the assistant on your website that talks to your visitors and helps them buy.
The short answer
- An AI sales assistant for a website answers visitors’ buying questions from your own pages and products at any hour.
- It recognises when someone is ready to buy and hands them to your sales team with the whole conversation.
- Unlike a general chatbot, it never makes up prices or policies.
- Unlike sales-rep AI tools, it works in front of your customers, not behind the scenes.
Two different things called “AI sales assistant”
| AI sales assistant on your website | AI assistant for your sales reps | |
|---|---|---|
| Who it talks to | Your website visitors | Your salespeople |
| What it does | Answers questions, guides, captures and hands over leads | Coaches calls, drafts emails, updates the CRM, scores leads |
| Where it lives | A chat on your website | Your CRM, phone system or inbox |
| Examples | HolaReply, website chat assistants | Tools such as Dialpad’s AI sales assistant or Pipedrive’s Sales Assistant |
Many businesses use both: the website assistant brings the lead in, the rep tools help close it.
The rest of this article is about the first kind.
The five jobs of a website sales assistant
1. Answer buying questions correctly
Visitors who are close to buying ask precise questions: “Does this fit a 60 cm cabinet?”, “Do you deliver to Ireland?”, “Is it vegan?”. A sales assistant earns its keep by answering these instantly, from your own product pages, delivery pages and FAQs, and by showing where the answer came from so the visitor can trust it.
The flip side matters just as much: when your site doesn’t say, it must say “I don’t know” rather than guess. A confident wrong answer about a delivery date or a return policy costs you the sale and the customer’s trust.
2. Keep the conversation moving
A good assistant remembers what was said a moment ago. If a visitor asks “Do you have the 5 kg bag?” and then “What about delivery?”, the second answer should be about that bag. It should also follow the visitor from page to page, so they never have to repeat themselves.
3. Recognise when someone is ready to buy
Some questions signal intent: a request for a quote, a price list, bulk pricing, samples, an invoice. Others signal that a person is needed: “Can I talk to someone?”. A sales assistant notices both. After answering, it offers to have your team follow up, and asks for an email address at that moment, not before the chat starts.
How the assistant looks, what it may say, and where enquiries go.
Choose the moments that count: no answer, a locked topic, a request for a person, a buying question, a longer conversation.
4. Hand over to a person, with context
Some questions should always go to a human: custom prices, contracts, anything a mistake would make expensive. The handover is where most chatbots fail. The visitor gets a generic form, and your team gets an email saying “Someone asked about pricing”. A sales assistant sends the whole conversation, so your team can reply with one useful message.
5. Help your team follow up
The lead is only worth something if someone answers it quickly. The best setups put each enquiry into an inbox your sales team actually uses, with an owner, a follow-up date, and a reply that reaches the visitor even after they have left the site.
What a good sales conversation looks like
Do you sell dried mango in bigger bags?
Yes. Dried Mango Slices come in 1 kg and 5 kg trade packs. Source: Dried Mango Slices product page.
What would 50 of the 5 kg bags cost?
Volume prices are quoted by our sales team, so I won’t guess. I can pass this conversation to them now. What email should they reply to?
Sure, use my work address. (The visitor types it in.)
Done. Our team has the whole conversation and will reply to that address. Anything else I can check while you wait?
Hi Sam, 50 × 5 kg is £… per bag with free delivery. Shall I send a pro forma invoice?
The assistant answers what the site says, never states a price it shouldn’t, and hands the sale to a person with the context. The team’s reply reaches the visitor in the chat and by email.
Sales assistant or chatbot: how to tell the difference
- Does it answer only from your content, and show its source?
- Does it say “I don’t know” instead of guessing?
- Can you stop it answering certain topics, such as prices or contracts?
- Does it ask for contact details at the right moment, and never twice?
- Does your team receive the whole conversation, not just a name and email?
- Can your team reply from an inbox, and does the reply reach the visitor?
- Does it keep working, and keep taking enquiries, if the AI service is down?
If the answer to most of these is no, you have a chatbot. It may be clever, but it isn’t selling for you.
What to measure
- Answered rate: the share of questions it answered from your content. A low rate means your site is missing information buyers want.
- Enquiries: how many conversations became a lead your team can follow up.
- Time to first reply from your team: leads go cold within hours, not days.
- Unanswered questions: the list of what visitors asked that your site doesn’t cover. It is the best free market research you will get.

Questions people ask
Is an AI sales assistant the same as a chatbot?
A chatbot answers questions. A sales assistant also recognises buying intent, hands leads to your team with context, and helps them follow up. Many chatbots only do the first part.
Will it replace my sales team?
No. It answers the routine questions and brings your team better leads. Prices, negotiations and relationships stay with people.
Can it work outside office hours?
Yes. It answers from your site at any hour and collects enquiries overnight, so your team starts the day with warm leads and the whole conversation.
Does it work on any website?
Yes. HolaReply works on WordPress and WooCommerce as a plugin, and on any other website with one line of code. The Shopify app is coming soon to the Shopify App Store.
How do I stop it quoting prices?
Add prices, quotes and discounts as locked topics. The assistant passes those questions straight to your team.
