An AI chatbot for a small business: what it can do, what it costs, and how to avoid the traps
A small business can’t answer every question the moment it arrives: you are serving customers, making things, or asleep. An AI chatbot can answer the routine questions from your website at any hour and pass the rest to you with the whole conversation. Done badly, it annoys customers and invents answers. This guide is about doing it well.
The short answer
- An AI chatbot for a small business is worth it when it answers routine questions from your own website (hours, prices you publish, delivery, services, how to book) at any hour and in any language.
- It must say when it doesn’t know and keep risky topics like quotes and complaints for you.
- It should turn every question it can’t answer into a lead you receive.
- With your own AI key it costs a few dollars a month; hosted services often cost $30–$150 or more.
What your customers expect
- Quick answers. 82% of service professionals in HubSpot’s 2024 research said customers expect issues resolved immediately.
- Service at any hour. In Zendesk’s CX Trends 2026, 74% of consumers said they expect 24/7 service because of AI.
- Honesty about AI. Nearly 75% of consumers in Salesforce’s 2024 research want to know when they are talking to an AI.
- A way to a person. In Gartner’s 2024 survey, 64% said they would prefer companies didn’t use AI for service, mainly for fear of not reaching a human.
So the brief for a small business is simple: fast, honest, available, and never a dead end.
Most small firms haven’t started yet. In the US Census Bureau’s Business Trends and Outlook Survey (December 2025 to May 2026), fewer than 20% of firms with four or fewer employees used AI in their business, against 37% of firms with 250 or more. A small business that sets up a careful chatbot now is early, not late.
Which kind of chatbot fits your business
There are three kinds of chatbot, and most bad experiences come from using the wrong one for the job:
| AI that answers from your site | Rule-based (buttons and flows) | Hybrid | |
|---|---|---|---|
| Handles questions you didn’t foresee | ✓ If your site or notes answer them | Not at all: only the paths you build | AI for questions, buttons for fixed tasks |
| Setup effort | An afternoon: it reads your pages | Days: every path written by hand | Both, so the most |
| Risk of a made-up answer | Low only if it answers from your content and can say “I don’t know” | None: it says only what you wrote | As for the AI part |
| Usual cost | AI usage, from a few dollars a month on your own key | A flat monthly plan | A plan plus AI usage |
| Best for | Questions about products, services, prices you publish, delivery | Bookings, order forms, one fixed menu of options | Busy shops with both |
Then match it to what most of your messages are about:
| Your business | Most messages are about | What you need | Must-have |
|---|---|---|---|
| Online shop | Products, sizes, stock, delivery, returns | AI that reads your product catalogue | Product links in answers; order questions sent to you (WooCommerce) |
| Restaurant or café | Menu, allergens, opening hours, bookings | AI for questions, your booking system for tables | Allergy questions always sent to staff (restaurant guide) |
| Salon, clinic or other appointments | Services, prices, availability | A booking tool, with AI for the questions around it | Medical and safety questions always go to a person |
| Trades and local services | Quotes, areas covered, how soon you can come | AI that answers the basics and takes the job details | Every quote request becomes an enquiry with the whole chat |
| B2B, wholesale or agency | Minimum orders, terms, prices on request | AI with topics locked for sales | Locked topics for quotes and contracts (wholesale guide) |
| Mostly on Instagram or WhatsApp | Direct messages, not your website | A tool for social messages, not a website chatbot | It works where your customers already write to you |
A website chatbot such as HolaReply fits the first five; if your customers mostly message you on social apps, start there instead.
What a small-business chatbot should do
- Answer only from your website and your own notes, and show the page it used.
- Reply in the customer’s language.
- Say “I don’t know” instead of guessing, and offer to pass the question to you.
- Ask for an email only when it needs to hand over, and never twice.
- Send you the whole conversation, so your reply can be the answer.
- Keep working, and keep taking messages, if the AI service is down.
What it should never do
- Quote prices you don’t publish, or discounts you never offered.
- Give legal, medical, safety or allergy advice.
- Promise delivery dates, refunds or exceptions.
- Pretend to be a person.
Courts have held businesses to what their chatbots said: Air Canada in 2024, and a German clinic in 2026. Make these “locked topics” that always come to you.
What it costs
| Setup | Roughly per month |
|---|---|
| WordPress plugin with your own Gemini key (HolaReply Free) | about $1–3 in AI usage |
| Same, with a team inbox (HolaReply Pro) | about $1.70 in AI usage, plus Pro from $59, paid once |
| Any website with HolaReply Pro, AI included (500 AI conversations) | $19 a month, no AI key |
| Wix, Squarespace or any other website (HolaReply Pro) | $19 a month with 500 AI conversations included, or nothing counted on your own key |
| Hosted chatbot priced per resolution ($0.50–$0.99) | up to $250–495 |
| Hosted chatbot with an AI conversation bundle | often $39–350 |

A one-afternoon setup plan
Write down your 20 most common questions
Check your inbox and phone notes. These are what the chatbot must answer well.
Make sure your website answers them
In plain text: hours, prices you publish, delivery, services, how to book or order.
Install the chatbot and connect the AI
On WordPress, a plugin; on Wix, Squarespace or a custom site, one line of code. On your own AI key, turn on billing with your AI provider before going live.
Add the missing answers to its knowledge base
The things you always explain by email: minimum orders, areas you cover, what to bring.
Lock the risky topics
Quotes, complaints, anything legal, medical or safety-related.
Test it on your phone
Your 20 questions, one it can’t answer, and one locked topic. Then check your inbox for the lead.
After a week, look at what people asked
The questions it couldn’t answer are the most useful thing a chatbot gives you: a list of what customers want to know that your website doesn’t say. Add the answers, and the chatbot answers them next time.
What visitors asked that your site doesn’t answer yet — most asked first.
The unanswered questions report (Pro): what customers asked that your site doesn’t cover.
Try it like a customer. The chat on this page is HolaReply. Ask it something, then ask for a person.
“Is there a free version?”“Can someone call me back?”

Is an AI chatbot worth it for a small business?
Yes, if it answers from your own website, hands over what it can’t answer, and costs little. It saves repeated replies and catches leads outside opening hours; a report shows what it did while you were closed.
How much does a chatbot cost a small business?
With your own AI key, a few dollars a month. Hosted platforms often cost $30–$150 a month or more, depending on volume and pricing model.
Will customers mind talking to a bot?
They mind being trapped and misled. Tell them it is an AI, let it answer quickly, and make a person easy to reach.
Do I need technical skills?
No. On WordPress you install a plugin, paste an AI key and choose settings. On Wix, Squarespace or another site builder you paste one line of code into its custom code settings.
Can a chatbot book appointments or capture leads?
Lead capture, yes: a good chatbot turns every question it can’t answer into an enquiry with the visitor’s email and the whole chat. Bookings need a booking system; HolaReply doesn’t take bookings itself, so link your booking page from your site and the chatbot will point people to it.
Is my customers’ data safe?
Ask where conversations are stored and what is sent to the AI provider. HolaReply removes names, email addresses and phone numbers before a question reaches the AI. Our GDPR guide for chatbots lists what to check (not legal advice).
What if my website doesn’t answer many questions?
Start by writing the answers down: in a knowledge base or on your pages. It improves your website for search as well as for the chatbot.
